Privacy Policy

Condo1 Property Management Inc. (“Condo1,” “we,” “us,” or “our”) is a property management company based in the Greater Toronto Area, Ontario, Canada. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit condo1.ca, submit a form, contact us by phone or email, or interact with our chat widget.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL). If you have questions about this policy or the personal information we hold, contact us at the addresses at the bottom of this page.

1. Information We Collect

We collect personal information you give us directly and a limited amount of technical information collected automatically when you visit the site.

Information you give us:

  • Contact details such as your name, email address, and phone number when you submit any inquiry, consultation, calculator, onboarding, maintenance, or tenant application form.
  • Property information such as the address, property type, number of bedrooms, current rent, and your situation, when you provide it through our forms or rent calculator.
  • The content of any message you send us through a contact form, chat widget, email, or phone call.
  • Any document you upload (for example, identification or rental application supporting documents in the tenant application flow).

Information collected automatically:

  • Standard server logs including IP address, browser type, device type, operating system, referring URL, pages visited, and timestamps.
  • Cookies and similar tracking technologies through Google Tag Manager (container ID GTM-KPWV7P2C), which loads Google Analytics and Google Ads tags. See Section 6 below.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries, requests for consultations, calculator submissions, maintenance requests, and tenant applications.
  • Provide and manage property management services for owners who become clients.
  • Send transactional and service communications about your property, your tenancy, your application, or any active engagement.
  • Send marketing emails and SMS only where you have given consent under CASL, with an unsubscribe link in every message.
  • Operate, secure, and improve the site and our internal processes.
  • Measure the performance of our advertising campaigns and our website, including conversion tracking for Google Ads.
  • Comply with legal, accounting, regulatory, and tribunal obligations (for example, retaining records for the Landlord and Tenant Board, the Canada Revenue Agency, or applicable Ontario tenancy law).

3. Legal Basis for Processing

We rely on the following legal bases under PIPEDA: your consent (which you provide by submitting a form, sending us a message, accepting cookies, or beginning a service engagement), our legitimate business interest in operating and improving our services, and our obligation to comply with applicable Canadian and Ontario laws.

4. How We Share Your Information

We do not sell or rent your personal information. We share it only with the service providers we use to operate the site and our business, and only as needed for them to perform their function for us:

  • Vercel Inc. hosts the website and its serverless API routes.
  • Cloudflare Inc. provides DNS and content delivery for condo1.ca.
  • Google LLC, through Firebase / Cloud Firestore (Google Cloud Platform), stores form submissions, calculator outputs, and related records.
  • HighLevel Inc. (GoHighLevel / GHL) is our customer relationship management platform. Form submissions are pushed to GHL so our team can respond, run lead nurture sequences, and manage client communications.
  • Google LLC (Google Tag Manager, Google Analytics, and Google Ads) processes cookies and event data for analytics and advertising measurement.
  • Google Workspace hosts our business email at info@condo1.ca, which is the inbox where customer email reaches us.
  • Embedded form providers for our maintenance request and tenant application pages, which are presented inside iframes from our CRM provider.
  • Our chat widget's AI provider, which processes the content of messages you send through the chat widget for the sole purpose of generating a response.

We may also disclose personal information when required by law, in response to a lawful request from a Canadian regulator, court, or tribunal (including the Landlord and Tenant Board), or where reasonably necessary to protect our rights, property, or safety, or the rights, property, or safety of others.

5. Where Your Information Is Stored

Most of our processors store data in Canada or the United States. By using our site or submitting a form you understand that your information may be processed and stored outside Ontario, including in jurisdictions whose privacy laws may differ from Canadian law. We require our processors to apply appropriate safeguards to your information.

6. Cookies and Tracking Technologies

Our site uses cookies and similar technologies. The categories we use are:

  • Strictly necessary: required for the site to function (for example, remembering that you closed a modal).
  • Analytics: Google Analytics, loaded through Google Tag Manager, helps us understand how visitors use the site so we can improve it.
  • Advertising: Google Ads conversion and remarketing tags help us measure the performance of our advertising and reach prospects who have visited the site.

You can control cookies through your browser settings. You can opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-on, and you can manage Google ad personalization at adssettings.google.com. Disabling cookies may break parts of the site that depend on them.

7. How Long We Keep Your Information

We keep personal information for as long as we need it for the purposes described in this policy. Inquiry, consultation, and calculator submissions are typically retained for up to 24 months for follow-up. Records connected to an active management engagement, a tenancy, a maintenance request, or a tenant application are retained for the duration of the engagement and for up to seven years afterward to satisfy tax, accounting, contractual, and tenancy law requirements. You can request earlier deletion using the contact details below; we will honour the request unless a legal or contractual obligation requires us to keep specific records longer.

8. Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete your information, subject to the retention exceptions described above.
  • Withdraw your consent to marketing communications at any time, by clicking unsubscribe in any marketing email or by emailing info@condo1.ca.
  • File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe your privacy rights have been violated.

9. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information from loss, theft, unauthorized access, disclosure, copying, use, or modification. Forms are submitted over HTTPS, our hosting and database providers offer encryption at rest and in transit, and access to personal information inside Condo1 is limited to staff who need it to do their job. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Children's Privacy

Our services are directed to property owners, tenants, and other adults. We do not knowingly collect personal information from children under the age of majority in their province. If you believe we have collected information from a minor, contact us and we will delete it.

11. Third-Party Links

Our site may contain links to third-party sites (for example, government resources or partner pages). We are not responsible for the privacy practices of those sites. Review their privacy policies before submitting personal information to them.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The current version is always available at condo1.ca/privacy. The effective date at the top of this page tells you when it was last updated. Material changes will be highlighted on this page for a reasonable period after they take effect.
